The challenge
A busy shop running on paper and Excel
Quotes were written on paper and sometimes got lost before the customer approved them. On a full day, nobody could say at a glance which mechanic had which car or what each job was waiting for.
At the end of the day, cash was closed by hand, and at the end of the week someone calculated each mechanic’s commission from notes and spreadsheets.
- Paper quotes that went missing.
- No clear view of which mechanic had which car.
- Commissions calculated by hand every week.
- Manual cash closing and records in Excel.
What they use
One flow from intake to delivery and payment
Garage 57 uses Mantenix as the system for the whole shop. Each vehicle is received with an email to the customer, its work order moves across a board, and the quote, the labor, the parts and the payment stay attached to the same job.
Three roles share the work: reception receives vehicles and prepares quotes, mechanics work their assigned jobs, and administration handles cash, credit and commissions.
Modules
- Work board
Orders move through Received, In the shop, Work ready and Delivered, with a flag for jobs waiting for parts.
Quotes and proformas
Quotes in PDF and Excel built from templates, with VAT and a versioned labor catalog.
Vehicle and customer history
Every vehicle keeps its photos and its past jobs, linked to its owner.
Parts and margin
The cost of each part and the margin per supplier, recorded on the job.
Cash and credit
A cash register with an automatic daily close, accounts receivable and payment reminders by WhatsApp.
Mechanic commissions
Weekly commissions calculated automatically by tiers, with a bonus, from the jobs each mechanic worked on.
- Reports

How a job runs today
How a job runs today
- 01
The vehicle is received
Reception logs the vehicle and its photos, links it to the customer’s history and the customer gets an email.
- 02
The quote is approved
Reception builds the quote from a template with the labor catalog, the parts and VAT, and sends it as a PDF.
- 03
The job moves across the board
One or more mechanics are assigned, and the order moves from Received to In the shop, flagged if it is waiting for parts.
- 04
Delivery and payment
When the work is ready the vehicle is delivered and paid, or recorded as credit with WhatsApp reminders.
- 05
The week closes itself
Cash closes automatically each day, and each mechanic’s commission is calculated at the end of the week.
